Safe Environment Policy

Policy_#16

Alano Club of Fairbanks

Purpose:

This procedure is a guideline for the Board of Directors to use when club members or building patrons

disregard club policies and rules and/or behave inappropriately on Alano Club property. The Board of

Directors feels that the Alano Club needs to be a safe environment for all using the facility.

Description

  1. For the safety and security of all the Board of Directors generally defines inappropriate behavior as the inability to control oneself in a group environment. Specifically defined, inappropriate behavior is unwelcomed touching, advances, and comments; any behavior that robs, victimizes or exploits others; any displays of bullying, raging, name-calling or any threatening behavior where one believes they are being harmed.
  2. Groups are responsible for addressing inappropriate behavior during the time frame their group rents Alano Club space. If the behavior continues, the groups can defer any action to the Board. As landlords, the Board reserves the right to step into situations that cannot be contained.
  3. The Alano Club Board of Directors is responsible for addressing inappropriate behavior during club hosted activities.
  4. This policy defines the different levels of violations that require different reactions based on the type and level of aggression.

Guidelines:

If any club member or building patron witnesses behavior that is inappropriate, that individual can either

leave the property or be tasked with the responsibility to assess the situation and ask that the behavior

end. If the behavior ends, there is no need for further action. However, depending on the severity of

the behavior or continued disregard for others, the witness can assess the situation and contact a Board

member, preferably the President for direction or if needed, law enforcement to remove the person off

the premises. The offending person will not be allowed on the property until the Board of Directors has

reviewed the incident. A signed, written statement of the incident by the witness must be submitted in

the office drop box for review by the Board of Directors at the next monthly meeting. In general, the

President or representative will notify the party of a written complaint that has been filed. If any signed,

written complaint involves another person, both individuals may have the opportunity to express their

perceptions/observations at a board meeting. All signed complaints will be addressed at the next

available board meeting.

The following is a list of expected actions relating to the severity of the offense.

A. Nonthreatening: This is specifically for behaviors that violate club rules and policies, local law

and ordinances and do not present any real threat of injury to the parties involved:

      1. First offense verbal warning from Board member.

      2. Second offense the offending party will not be allowed on the property until the offense can be

assessed at the next Alano Club Board meeting and a decision made by the Board of Directors.

B. Threatening and abusive: This is specifically for behaviors that allows others to believe they are

in pending danger and there will be injury to themselves or others. Verbal request for the person to leave property, the witness making the complaint must submit a signed incident to the Board of Directors. The President must be notified when anyone has been asked to leave the property or the police have been called. If the President is unavailable, any member of the Board of Directors is to be contacted.

C. Life threatening: This type of behavior deals with a weapon and/or actual physical contact. Any

club member or building patron has the authority to call the police, submit the signed, written

incident report in the office drop box and contact a member of the Board of Directors. The President acting on behalf of the Alano Club will implement either an immediate 90 day suspension and/or 90 day trespass. The incident will be assessed at the next scheduled Alano Club meeting of the Board of Directors for final determination.
